Iso Omena Service Centre: Information kit for event and meeting organisers
General instructions for all spaces
The Iso Omena Service Centre offers unique facilities for organising events that are open to the public. The Service Centre includes five meeting rooms and the Stage at the library. Organisations may also present their activities in the lobby on a date and time agreed in advance.
The Service Centre provides basic public services that may not be disturbed by your event. By reserving a space for your event at the Service Centre, you commit yourself to following our instructions. Please read them carefully.
The Service Centre is a public space where election campaigns and commercial activities are not allowed. Organisations’ fundraising activities must always be agreed on in advance.
Before the event
Reserve meeting rooms through the Varaamo service.
Agree on the use of the lobby with the Service Centre administration by e-mail: firstname.lastname@example.org.
Book the Stage by email: email@example.com
- When booking the Stage, tell us the name, date and time of your event, the performers, your requests for technology and the contact information of one or several contact persons. Detailed information about the Stage (in Finnish).
Use of premises
Always agree on the use of the lobby and the Stage separately (see the contact information above). If you are going to use the lobby, agree with us in advance on the location of your stand.
The meeting rooms are not soundproof. Please remember this when you are using them.
The events on the Stage may be audible in the meeting rooms.
The Service Centre is unable to offer kitchen facilities and tableware to event organisers. You can either bring your own catering or order it from one of the cafés at the shopping centre, for example.
The Service Centre has its own security guards who will help you with any sudden safety concerns.
Setting up and dismantling
Please note that you need to set up and dismantle your stand and other equipment within the same day. Check the Service Centre opening hours.
You cannot store anything at the Service Centre.
As the event organiser, you are responsible for leaving the premises in the same condition as you found them. As the Service Centre only has five (5) tables for event use, please bring your own tables with you if you can. If you would like to use our tables, please let us know this when you are making a reservation.
The Service Centre is located on the third floor of the extension of the Iso Omena shopping centre. You can take a bus or the metro to Iso Omena. The bus and metro terminal is located directly below the Service Centre.
The shopping centre also has large parking garages. If you arrive by car, drive into the P1A parking garage using the ramp on Suomenlahdentie.
You can take a lift from the parking garage directly to the Service Centre.
You can leave your car in the garage for two hours for free (or four hours if you have the shopping centre’s mobile application).
The Service Centre has no free parking spaces for event organisers.
Cancellations and changes
As the Service Centre spaces are in high demand, please inform us of any cancellations and changes as soon as possible.
The person who has reserved a space can cancel the reservation through the Varaamo service. Possible cancellations and changes to lobby reservations should be emailed to firstname.lastname@example.org. Cancellations and changes regarding the Stage should be sent to email@example.com.
Communication and marketing
After you have booked a space, remember to advertise your event if it is open to everyone. Good communication channels for reaching Espoo residents include the event calendar on the Espoo.fi website, where anyone can publish an event, and Facebook.
We can also add your event to the electronic information displays at the Service Centre. To do this, we will need a short description of the event and a photo or a logo in an image file format (jpg, png), size: 1920 x 1080 px. You can send the image to firstname.lastname@example.org.
We can share information about our customers’ events on the social media channels of Espoo’s Service Centres and Iso Omena Library. Simply send us a brief description of your event and preferably an image to go with your text. If your event has a Facebook page, you may add Iso Omena Library (called “Ison Omenan kirjasto” on Facebook) and Espoo’s Service Centres (“Espoon palvelutorit”) as co-hosts. This will make your event show up on their Facebook pages, too.

You can also send us an event poster that we can share on our channels.
You can use loudspeaker announcements at the Service Centre to advertise your event. These are always agreed on a case-by-case basis.
Iso Omena Library can also advertise the event on its website.
Advertising elsewhere in the Iso Omena shopping centre is subject to a fee. Read more about promotion spots and ad surfaces in the shopping centre directly on Citycon Media’s website.
You will need to take care of event search engines and other communications yourself.
On the event day
As the event organiser, you will be responsible for all event arrangements. To ensure that your event goes well, it is very important that you follow the instructions and rules that have been agreed on.
Keys to the spaces
If you are using meeting rooms, pick up the keys at the information desk and bring them back when your event is over.
Always agree on signs and signboards in advance with the staff. You may not put up any signs on the Service Centre walls.
Event organisers can use the public toilets at the Service Centre. The largest toilets can be found in the shopping centre next to HUS, across from the café.
Photography and filming
Photography and filming are allowed in accordance with the rules set by the public space. We have put restrictions on photography and filming at the premises of the City of Espoo Service Point, Kela, mental health and substance abuse clinic, maternity and child health clinic, health centre, the HUSLAB laboratory and the HUS Medical Imaging Centre to protect our clients’ privacy. Without a prior request for permission, photography and filming in these spaces is prohibited.
In addition, you will need to ask every person appearing in the images/video for their consent to being photographed/filmed and to the publication of the material. If you are photographing or filming children in any of our premises, you always need to have their guardians’ consent.
If you plan to invite the media to your event, inform the Service Centre staff in advance. This enables us to help the journalists do their work while ensuring the protection of our clients’ privacy.
Liability for damages
The customer will be liable for damaged or dirtied spaces and equipment. The Service Centre has the right to invoice the customer for any damage caused or extra cleaning required.
Taking clients into consideration
The Service Centre is a public service space where events are highly visible. However, please remember to take other clients into consideration by ensuring that their access to basic services is unhindered.
